PRIVACY POLICY
Effective Date: September 6, 2024
Last updated Date: September 30, 2025
PDQE, developed and published by Teunis Matthijs Kralt, is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our app, PDQE, available on Apple App Store, Google Play Store, Xiaomi Mi Store, Huawei AppGallery and as a web service. By creating an account on PDQE, you agree to the terms outlined in this policy.
1. Information We Collect
1.1 Information You Provide to Us
When using PDQE, you may provide the following information:
• Personal Information: Name, email address, company name, contact details, client address and contact information, or any other information you choose to provide.
• Business Details: Information related to product information, item inventory, customer quotes, manufacturer details, and other relevant data for business transactions.
1.2 Automatically Collected Information
We may automatically collect certain information through your interaction with our app, including:
• Device Information: Device type, operating system version, device identifier, and other hardware-related data.
• Usage Data: Data on how you interact with the app, including feature usage, session duration, and other app behavior.
• Log Data: IP addresses, app performance data, and error reports.
1.3 Third-Party Information
If you connect the app to third-party services, we may receive information from those services. These could include authentication services (Google, Apple), analytics providers, email providers, and other integrations.
2. How We Use Your Information
We use the information collected for the following purposes:
• To Facilitate Business Transactions: Manage item/product information and generate item quotes between manufacturers and clients.
• To Provide and Improve the App: Enhance app functionality, troubleshoot issues, and improve user experience.
• To Communicate with You: Send notifications, support responses, and service-related messages (e.g., email delivery powered by Postmark).
• To Maintain Security: Detect and prevent fraud, abuse, and unauthorized access to the app.
• For Legal and Regulatory Compliance: Comply with legal obligations and resolve disputes.
• Search Functionality: To enable fast in-app search, we index item name and SKU in an ElasticSearch service. These fields are stored separately from personal identifiers and are used solely for search.
3. Sharing Your Information
We do not sell your personal information or use your data for marketing purposes, and we do not “share” personal information for cross-context behavioral or targeted advertising as defined by applicable laws. We may share your information in the following scenarios:
• With Your Consent: We will share your information when you give us explicit consent.
• Service Providers: We share information with third-party vendors or service providers to help deliver our services (e.g., cloud hosting, search indexing, error monitoring, email delivery). These providers are bound by contractual obligations to protect your data and may only use it as instructed by PDQE.
• Legal Obligations: If required by law, regulation, or court order, we may disclose your information to comply with legal obligations.
4. Data Security
Encryption: All user, company, item, and customer data is encrypted in transit (TLS) and at rest in our databases. We also apply field-level encryption to personally identifiable fields where appropriate.
Search Index Exception: To power app search, only item name and SKU are stored in our managed ElasticSearch service. These fields are stored without direct personal identifiers and are used solely to enable search functionality.
Access Controls: PDQE personnel do not access customer content unless you explicitly request support that requires it. Any such access is time-bound, least-privilege, and logged, and access may be revoked by you at any time.
We take reasonable and appropriate measures to protect your data— including encryption in transit (TLS) and at rest, secure servers, and access controls. However, no method of transmission over the internet or electronic storage is 100% secure. To help protect your data, you are responsible for using secure connections and networks. If you submit information over an insecure connection (for example, plain HTTP or open/public Wi-Fi without additional protection), your transmission may be intercepted by third parties. PDQE is designed to use HTTPS by default; transmissions initiated outside the app or through misconfigured or insecure networks are outside our control, and, to the extent permitted by law, we are not responsible for loss or exposure of data resulting from your use of such insecure connections.
5. Data Retention
We retain your personal data only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required by law. Where applicable, search index entries (item name/SKU) are refreshed or removed when the underlying records are updated or deleted.
6. Your Choices
• Access and Correction: You have the right to access and correct your personal information within the app or by contacting us.
• Delete Your Information: You may request the deletion of your personal information. However, certain data may need to be retained for legal or security reasons.
• Opt-Out of Marketing Communications: We do not use your data for marketing. If you receive service-related emails (e.g., support responses), you may manage or limit notifications as available in-app.
• Support Access on Request: If you request support that requires viewing your data, we will seek explicit permission, restrict access to authorized staff, and maintain an audit log.
7. Children’s Privacy
Our app is not intended for use by individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we discover we have inadvertently collected such data, we will take steps to delete it.
8. International Users and Data Residency
Primary Data Residency in Asia: PDQE stores and processes customer data in Asia (Singapore). We do not transfer customer data outside the Asian region, with the narrow exceptions listed below.
Narrow Exceptions:
• Error Monitoring (Sentry): We use Sentry’s cloud service for error monitoring, which is hosted in the United States. Data sent to Sentry is minimized and anonymized for diagnostics and does not include customer content fields.
• Email Delivery (Postmark): We use Postmark to send emails. Postmark’s infrastructure is primarily located in the United States; as a result, email-related data (such as recipient address, sender, timestamps, message metadata, and message content necessary for delivery) may be processed outside Asia.
Other than these narrow exceptions, our services and data storage are configured to keep your data within Asia.
9. Third-Party Links and Services
Our app may contain links to third-party websites or services. We are not responsible for the privacy practices or the content of those third parties. When you use third-party sign-in (e.g., Apple, Google), we receive only the authentication information you authorize; we never receive your third-party passwords.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new Privacy Policy within the app or through other appropriate channels. Your continued use of the app following any changes signifies your acceptance of the updated Privacy Policy.
